How to audit campaign URLs without a task force

An audit is not a workshop. It is a table of the links that are live right now, plus a short list of rows that will split in GA4. You can do it in an afternoon if you stop rewriting the taxonomy mid-pass.

1. Export what is actually serving

Google Ads: final URLs and any suffix. Microsoft Ads: the same. Meta: the URL parameter string on each ad. Email: one CTA per template, not every personalization token. Skip vanity shorteners until you expand them — a short link with no tags is a finding, not a destination.

2. Decode the pile

Paste the list into the bulk UTM decoder. Sort the CSV by source, then medium, then campaign. You are looking for: mixed case, spaces, missing campaign, mediums that the channel checker calls Unassigned, and two names for one program.

3. Pick a sample, do not boil the ocean

Fix the rows that are spending. A 2019 display tag can wait. Run a bad row through the cleaner or rebuild it in the builder. Compare the old and new URL so you can show a teammate the diff instead of a speech.

4. Change the live object

A perfect sheet that never hits Ads Manager is a diary. Update the suffix, the URL parameter, or the email button. Then click once and confirm in GA4 reports. The pre-flight for the next launch is the checklist.

5. Write the allowed values once

If the same typo comes back, the problem is not the tool. Put approved sources and mediums in a one-page list. How to keep that list from rotting: keep a UTM spreadsheet. Naming rules: conventions.

What “done” looks like

You have a CSV of live URLs. The spending rows use lowercase, no spaces, a shared campaign name per program, and a medium the channel checker does not call Unassigned. Ads Manager and the ESP match that CSV. Last year’s unused display tag is documented as “won’t fix.” That is an audit. A 40-page SOP that nobody exported from is not.

Next month, decode again. The delta should be smaller. If it is not, the sheet is not locked — go back to medium as a closed list.

FAQ

UTM builder questions

How often should I audit UTM links?

Once before a launch (the checklist) and once a month on live final URLs from ads and email. After a rebrand or a new agency, do it immediately.

What do I export?

Final URLs from Google Ads and Microsoft Ads, URL parameters from Meta, and a sample of email CTAs. Paste them into the bulk decoder. You do not need every historical click.
